How It Works – Step by Step for Community Members/Organizations

Overview

Partner with us to offer Lynnfield High School students meaningful, supervised volunteer opportunities. Follow the simple steps below to post your event, manage sign-ups, and help students verify their hours.

Step 1 — Decide the Basics

Before you post, have these details ready:

  • Event name & brief description (what students will do)
  • Date(s) & shift times
  • Location & parking info
  • Age/grade requirements (if any)
  • Dress code
  • Materials to bring (if any)
  • Accessibility / physical demands
  • Supervisor Name/Email Address

Step 2 – Email the information above (basics) to LCC and we will publish your Care Connection, or (proffered) You Can Create Your Sign-Up (SignUpGenius) and follow along…

  1. Go to signupgenius.com and log in (create a free account if needed).
  2. Click Create a Sign Up.
  3. Title format: Organization – Event – Date (example: “Food Pantry – Sat Distribution – Sept 21”).
  4. Add time slots with the number of volunteers needed per shift.
  5. In Settings:
    • Require Name and Email (Phone recommended).
    • Turn on Email Reminders to reduce no-shows.
    • (Optional) Add custom questions (e.g., grade level, emergency contact).
    • Consider Hide names on sign up for privacy.
  6. Click Publish, then go to Share → copy the Link (or Embed code if you prefer embedding).

Step 3 — Send Us Your Care Connection Opportunity

  • Sign-up link (or embed code)
  • Event title, date(s), location
  • Short description (2–3 sentences)
  • Shift times & number of volunteers per shift
  • Supervisor name & mobile number
  • Any requirements (age, attire, forms)

We’ll post it on the Find Opportunities page so students can sign up.

Step 4 — Event-Day Check-In / Check-Out

To help students verify hours:

  • Set up a check-in table with a printed sign-in sheet (name, time in/out, supervisor initials).
  • Remind students they may take a photo/screenshot of the signed sheet or their check-out confirmation as proof.
  • Have the supervisor available at the start and end of each shift.

Need a template? Ask us for a printable sign-in sheet.

Step 5 — Verifying Hours (after the event)

Students will submit their hours through the school portal. You can support verification in any of these ways:

  • Sign the sheet and keep a photo on file.
  • Send a brief confirmation email to the LHS office listing student’s name and hours.
  • Export your SignUpGenius attendee list and email it to the LHS office.

Step 6 — Cancellations or Changes

If weather or staffing changes your plans:

  1. Update the SignUpGenius listing (it will notify students).
  2. Email [email protected] so we can update the website.

❗IMPORTANT❗- Guidelines & Expectations

  • Provide appropriate supervision and a safe environment.
  • Assign age-appropriate tasks with clear instructions.
  • Communicate any special requirements (e.g., closed-toe shoes, outdoor clothing).
  • If a student cannot complete a task, offer an alternative where possible.
